For Orange County Research Center

When your coordinators are busy, the next caller still gets answered.

Today that caller waits on hold or gets voicemail, and may not call back. 19 of your studies are enrolling right now. Two of your ads tell people to call.

What we'd do
  1. Answer busy and after-hours calls on your current numbers, toll-free included.
  2. Take each caller's name, number and the study they saw. Answer logistics from text you approve.
  3. Book screening visits and FibroScan appointments into your calendar.
  4. Send anything clinical (symptoms, adverse events, eligibility) to your coordinator.
  5. Take sponsor and CRO calls as a message to the right person.

Plus 2 more, below: a text back to dropped callers, and weekly and monthly reports. A new website is also available, quoted separately.

Calls that come in while the line is busy or closed go to voicemail.

Your team told us that when a coordinator is on a call, the next caller waits on hold or gets voicemail. After hours, every call does. A potential participant who can't get through may not try again.

We can't see how many calls that is yet. The free week counts them.

Should beEvery call is answered. Anything the desk can't handle goes to a person you name.

F2Found

19 studies are enrolling, and two of your ads say to call.

On October 13, your All Clinical Trials page listed 24 studies: 19 enrolling, 3 upcoming and 2 ongoing. Compensation goes up to $18,300.

All 24 Apply Now buttons go to your contact page, which has a patient form and three phone numbers. The healthy volunteer and weight loss ads skip the form and say to call 877-272-4325.

We didn't find office hours on the pages we checked, so a caller can't tell when someone will pick up.

Should beEvery call from an ad is answered and logged, with the study the caller saw, for a coordinator to follow up. After hours too.

01Flow

A busy or after-hours call is answered, then booked or handed to a person.

  1. Line busy or closed

The call forwards to the desk. Same number. Your team still takes every call they can.

  2. The desk answers

As OCRC's automated line. It takes the caller's name, number and reason.

  3. It sorts the call

Logistics, a booking, a message, or something a person needs to take.

  4. It logs the call

Who called, why, what happened, and any callback owed.

Handled by the desk

Visit booked, or question answered

Visits go into your calendar. Answers come only from text you've approved.

Handed to a person

Transferred to the person you name

Clinical questions, adverse events, eligibility, or an upset caller. No answer? Flagged urgent and sent to your on-call contact.

If a caller hangs up before an answer, they get a text with a way to book or ask for a callback.

What you see
  • Weekly text. Calls answered, visits booked, calls handed to staff.
  • Monthly report. The same, plus minutes used of 300 and callers texted back.
  • Call log. Every call and what happened.
02Scope

The desk handles logistics and scheduling. It never handles anything clinical.

Inclusion
  1. I1Hours, address, directions and parking.
  2. I2What a visit involves, from text you approve.Study descriptions use your IRB-approved recruitment language, word for word.
  3. I3Booking, rescheduling and cancelling visits, FibroScan included.
  4. I4Callbacks and study interest: name, number and the study they saw, for a coordinator to follow up.
  5. I5Sponsor, CRO and vendor calls: a message to the right person.
Exclusion
  1. E1Medical advice, symptoms or medications.
  2. E2Eligibility or pre-screening.An IRB-approved pre-screen script would be a separate scope.
  3. E3Adverse events: transferred to the person you name right away.No answer? Flagged urgent and sent to your on-call contact.
  4. E4Informed consent.
  5. E5A participant's records, results or study payments.
  6. E6Upset callers. A person takes it.

Anything that doesn't fit goes to a person or becomes a callback.

03Data

Call data is handled as PHI from the first call.

The desk asks no clinical questions. Callers may still name a study, so we treat the call log as protected health information.

  • Identifiers are redacted from stored transcripts. Your log keeps only what your team needs to call back.
  • Encrypted in transit and at rest. Recordings off, or deleted on your schedule.
  • Your compliance lead reviews storage, access and retention with us before go-live.

We promise
  • You own what we set up.
  • The team answers for it. A person, not a ticket queue.
We don't promise
  • More enrollment. We'll show calls answered and visits booked. You know what they're worth.
  • How many calls you miss today. The free week shows it.
MMethod

How we checked, and what we couldn't see.

  • October 13, 2026: six pages of ocresearchcenter.com. Home, About Us, Contact Us, All Clinical Trials, Clinical Trial Advertisements and Phase 1 Unit.
  • Study counts, compensation and Apply Now links: the All Clinical Trials page. The call-only ads: the Clinical Trial Advertisements page.
  • Busy and after-hours calls: from your team.
  • We couldn't see your call volume, how many calls reach voicemail, what happens to patient form entries, or your calendar system.
Next step

Reply with your main line number and who takes escalations.

We'll book the 30-minute setup call. The first seven days are free.
